Remittance Matching for Freight Brokers, Every Load Applied

Shippers pay dozens of loads in one ACH or check, often through a freight payment company, and quote their own PO, bill of lading or PRO numbers. RemitClear reads every remittance, matches each load to its invoice in QuickBooks Online or Intuit Enterprise Suite, and holds short pays for review.

The Problem

Every Load Is Its Own Invoice, and Shippers Pay Them in Batches

A brokerage invoices every load separately, so invoice counts are high and the values vary. Shippers pay on their own cycle, weekly or monthly, often through a freight audit and payment company, and the remittance that explains the payment arrives apart from the money, as an email, a portal export or a check stub.

Someone then works through it load by load in Receive Payment, finding each invoice, ticking it and checking the total. Shippers quote their own PO, bill of lading or PRO number rather than your load number, accessorials and fuel surcharges come back short, and a payment for one company's loads can land in another company's account.

QuickBooks Online and Intuit Enterprise Suite leave that step to you, since neither reads a remittance and applies the payment across the loads on it. For a brokerage that's hours of someone's week, and a missed line means your AR aging chases shippers who've already paid.

The Solution

Every Load Applied, Whatever the Shipper Sends

RemitClear takes the remittance as the shipper or its payment company sent it, reads every line, matches each load against your open invoices, and posts the payment into QuickBooks Online or Intuit Enterprise Suite with the original document attached for audit.

How it works for a freight brokerage:

1. Forward every remittance to one address

Point your AR inbox, your check scanner and your portal downloads at your RemitClear address. Shipper emails, PDFs, spreadsheet and CSV exports from freight payment portals, and scanned check stubs are all read, so no shipper has to change how it pays you.

2. Every load read, however long the remittance

RemitClear extracts the payer, payment date, total and every load line, including credits netted off in the middle of the list. There are no templates to build per shipper, and a four-line remittance is read the same way as a forty-page one.

3. Matched to the shipper's open invoices

Each line is matched against your open invoices in QuickBooks Online or Intuit Enterprise Suite, with exact, partial and prefix matching on the invoice number, plus the shipper's reference in the invoice message or memo. Loads that have already been paid are picked out for you.

4. Reviewed and posted

Approve the matches and RemitClear creates the Receive Payment, one per customer, with the remittance attached. Short-paid loads post at the amount paid and leave the balance open on the invoice for your team to chase.

What Changes

The Keying Comes Off Your AR Team's Desk

Clean remittances can post on their own once you switch automatic posting on, which leaves your team the short pays, the disputes and the loads a shipper hasn't paid yet.

Who It Is For

Built for Brokerages on QuickBooks Online and Intuit Enterprise Suite

If you invoice per load and your shippers pay many loads at once, RemitClear takes the matching off your desk.

Truckload brokerages

Brokers invoicing every load to shippers that pay in weekly or monthly batches, by ACH, by check or through a freight payment company.

LTL and partial brokerages

High volumes of smaller loads, where one remittance can list dozens of PRO numbers against invoices of very different values.

Brokerages with an asset-based arm

A brokerage running alongside its own trucking company, each in its own QuickBooks Online company or Intuit Enterprise Suite entity.

3PLs and managed transportation

Logistics providers that bill shippers per load or per month and get paid against long remittances from large payables teams.

The shipper's reference

A PO, bill of lading or PRO number in the QuickBooks invoice message or memo is matched as well as the invoice number.

Freight payment companies

A remittance from a freight audit and payment company is applied to the shipper whose invoices it pays.

Short pays held for review

Accessorial and fuel adjustments are applied at what was paid, with the balance left open for your team.

FAQ

Frequently Asked Questions

Our shippers pay through freight payment companies. Does RemitClear handle those remittances?

Yes. A remittance from a freight audit and payment company is read the same way as one from a shipper's own payables team, whether it arrives as a PDF, a spreadsheet or CSV export from a portal, or the body of an email. RemitClear matches each line against your open invoices and applies the payment to the shipper those invoices belong to, whichever company's name is on the deposit.

Shippers quote their PO, bill of lading or PRO number instead of our load number. Will it still match?

RemitClear matches on the invoice number first, including partial and prefix matches where a shipper has dropped or added characters. It also reads the message and memo fields on your QuickBooks invoices, so if your TMS writes the shipper's PO, bill of lading or PRO number there, the remittance finds the invoice. A line matched that way waits for a quick review rather than posting unattended.

What happens when a shipper short pays a load?

The line is applied at the amount actually paid, so the rest stays open on the load's invoice, where your team can dispute it or write it off. A short-paid load holds the remittance for review, with the original document beside the match, so nothing posts until someone has looked at it.

We run a brokerage alongside a trucking company. Does that work?

Yes. Each QuickBooks Online company or Intuit Enterprise Suite entity connects to RemitClear on its own, under one login, with its own invoices, deposit account and forwarding address. A remittance is matched against the invoices of the company it was sent to, and a line that company's invoices can't settle waits for review.

Does it work with our TMS?

RemitClear works from the invoices in QuickBooks, so it doesn't matter which TMS creates them. What helps most is the TMS writing your load number as the QuickBooks invoice number, or the shipper's reference into the invoice message, because that's what a shipper's remittance quotes.

Can RemitClear read scanned checks and their stubs?

Yes. Scanned checks with their stubs can be emailed from the scanner to your RemitClear address. Once check-batch processing is set up, a combined scan is separated into individual payments and each one is matched, ready to post to Undeposited Funds and group into the bank deposit.

Does anything post without us checking it?

Automatic posting is off until you switch it on. With it on, a remittance posts by itself only when every line matches its own invoice number, the total agrees to the cent and every invoice settles exactly. Short pays, unmatched lines and possible duplicates wait for review, and the original remittance is attached to the payment in QuickBooks.
