What makes a remittance advice reconcile first time
The supplier's accounts team has to match your advice to their invoices, and a few habits make that a two-minute job instead of an email chain. The generator is laid out around them.
- One row per invoice. Never combine invoices into a single line.
- Exact invoice numbers. Include any prefix (INV-, RC-) exactly as the supplier issued it.
- A PO or reference alongside it. It's the most useful fallback when an invoice number is mistyped or missing.
- Deductions in their own column. Show short payments and rebates separately, with the reason in the notes, rather than netting them off the invoice amount.
- A matching payment reference. Use the reference exactly as it will appear on their bank statement, so the deposit and the advice can be tied together.
- Totals that add up. The amount-paid column must equal the amount that left the bank, which is why the check under the table stays visible until it does.

Frequently asked questions
Is the remittance advice generator free?
Yes. Fill in the form, then download the advice as a PDF or print it, as many times as you like. The PDF carries a one-line footer crediting the generator and nothing else is added. There is no sign-up, and your company details are remembered in your own browser so the next advice starts half filled in.
Is my data uploaded anywhere?
No. The form, the totals check and the PDF are all built in your browser, so nothing you type, and no logo you add, leaves your device. Your company details are kept in your browser's local storage for next time, and the Clear button removes them. The only things sent to us are the same anonymous page analytics as the rest of the site and a count of PDFs downloaded or printed, with the number of rows and whether the totals matched, never names, amounts or invoice numbers.
What should a remittance advice include?
The payer and payee, the payment date, the payment method, the total amount paid, and a payment reference that matches how the transfer will appear on the bank statement. Then one row per invoice showing the invoice number, the PO or your own reference where the supplier quotes one, the invoice amount, any deduction, and the amount paid, with the rows totalling to the amount paid. Any deduction or short payment should be explained in a notes line against the invoice it applies to. The generator lays out exactly those fields and checks the lines against the total before you download.
